Job Description

Position Summary
The Administrative Assistant provides comprehensive administrative and organizational support to ensure the efficient operation of the office. This role is responsible for managing daily administrative tasks, coordinating activities, and supporting staff members across departments. The ideal candidate is detail-oriented, proactive, and skilled at multitasking in a fast-paced environment.


Key Responsibilities

  • Manage calendars, schedule meetings, and coordinate appointments for team members or executives.
  • Prepare, edit, and distribute documents, reports, presentations, and correspondence.
  • Organize and maintain physical and digital filing systems.
  • Handle incoming calls, emails, and inquiries; route information to the appropriate parties.
  • Coordinate travel arrangements, including flights, accommodations, and itineraries.
  • Support event planning and logistics for meetings, workshops, or company events.
  • Process expense reports, invoices, and basic data entry tasks.
  • Maintain office supplies and ensure office equipment is functioning properly.
  • Assist with onboarding tasks for new employees (e.g., scheduling, documentation).
  • Perform other administrative duties as assigned to support overall office operations.

Qualifications

  • High school diploma required; associate's or bachelor's degree preferred.
  • Previous administrative or office support experience is a plus.
  • Strong proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint) and general computer literacy.
  • Excellent verbal and written communication skills.
  • Strong attention to detail and organizational skills.
  • Ability to manage multiple tasks and meet deadlines.
  • Professional demeanor and ability to handle confidential information.
